Step by Step Guide

To make sure your company is properly listed, please complete this FORM to provide your company information if you haven't already. It will take 2-3 minutes of your time and is mandatory for all exhibitors. Please send this in as soon as possible so we can begin advertising you on our website and socials! 

All exhibit staff must wear a name badge in order to gain access to the event. Please register all of your booth staff using the Exhibitor Registration Link that will be sent directly to your logistical contact as soon as possible - space is limited!

Your sponsorship includes lead retrieval.  Lead retrieval is 3 licenses in the lead retrieval app.  (Note: this is different from the event app). You will receive your leads in real-time and be able to download the information. Conexsys will reach out to you directly about 2 weeks away from the event with your login information. 

 

Please scan the QR Code below over visit this link (Event Code: PUQ24E) to order additional licenses. You can increase your quantity of licenses at any time, even onsite. 

This can be a printed piece or a promotional item. Please be sure to keep the size under standard letter-size (8.5"x11") in order to fit inside the bag.

The inserts will be pre-assembled at an offsite warehouse. Please include 550 items for the Event Bags.  

If you would like to supply a digital 'insert' for the mobile app, please email 1 PDF copy to [email protected]. If preferred, you may opt out of the physical inserts and only provide the digital PDF to save on paper. These PDFs will also be sent out to attendees following the event!

NOTE: Please ensure you mark these packages with the above information so the warehouse is aware they are for BAG INSERTS. Booth materials must be shipped directly to the event venue and noted as such on the shipping label.

Set up for your table top display occurs from 12:00pm-6:00pm on Thursday June 6th.

All displays must be completed by 7:30am on June 7 2024. You may arrive as early as 6:00am on June 7th to finish your display. 

 

TABLE TOP Instructions

 

Your tabletop includes the following:

  • 1 x 6 foot table (2ft deep, 30inches high), skirted with white linen
  • 2 chairs
  • 1 standard electrical outlet (500W)

  • 3 licenses for lead retrieval (see lead retrieval section for details) 
  • Delegate bag insert(s) - NOTE: Please email a PDF copy of your insert to [email protected] if you wish to include your piece of material in the mobile app. This PDF will also be sent out to all attendees following the event! Booth displays material deliveries will be accepted at the venue beginning June 6th. We will update you if we are able to deliver items earlier than this. Please see below documents for shipping label and map of the Congress Centre. The Palais des congrès de Montréal is not responsible for any shipments received in the absence of the exhibitor.

Please note there is NO material handling provided for this show as it is a table top event. Please do your best to display banners and hand-out small promotional items only as there is limited storage under your table top available.

The loading dock is located at: 163, Saint-Antoine Street West, Montréal (deliveries)

Exhibitors with deliveries will have to take the freight elevator MC2 from the dock to get to level 5. The freight elevator dimensions are 3.1M (W) x 3.38M (H)

Set-up time begins on Thursday June 6 at 12:00pm and ends at 6:00pm.  You may arrive as early as 6:00am on Friday June 7th to finish your display. All displays must be completed by 7:30am on Friday June 7, 2024.

 

Entry procedure during set-up

- Upon arrival, please obtain a mandatory pass from the attendant at the loading dock.

-  A maximum of 15 minutes is permitted to unload your vehicle at the loading dock. Please see the "parking" tab for options if you need to have your vehicle there longer than 15 minutes. 

- Any vehicles left at the loading dock for more than 15 minutes are subject to towing or applicable parking fees.

- To assist in transporting materials, blue trolleys are readily available at the loading dock.

 

You may dismantle your tabletop from 6:00pm-7:00pm on Friday June 7, 2024, following the networking reception. Please do not begin tear-down early as you will miss the opportunity to interact with participants.

 

Exit procedure during dismantle

- Smaller vehicles have exclusive and priority access to the loading dock at the start of dismantle. Trucks with
trailers, cube trucks and heavier vehicles will have access thereafter.

-  The doors, between Level 2 (exhibit) and the loading dock will remain closed until all aisle carpeting is completely
removed.

- Blue trolleys will be available from the loading dock once the doors are opened.

- Empty boxes will be brought to booths by Palais des congrès de Montréal personnel as promptly as possible
once the visitors have vacated the room and all aisle carpet is completely removed. Under no circumstances will
exhibitors have direct access to storage facilities.

- A pass will be given to you by the attendant at the loading dock once all materials have been delivered to your
booth. You must obtain this pass to have access to the loading dock with your vehicle.

-  If your materials can be transported manually without the use of trolleys, it is possible to leave the premises via
the exit doors or pedestrian access doors of the exhibit room.

-  Blue trolleys or other heavy transport equipment are not permitted in the common or public areas of the Palais
des congrès de Montréal, including the public elevators and escalators.

Exhibitors must possess their own liability insurance. The Palais des congrès de Montréal and its representatives assume no responsibility for any bodily harm or damage to materials, products, equipment, booths, or decorations caused by fire, water or theft, in the spaces rented or during movements within the building, whatever the cause.

Breakfast and lunch will be provided, along with snacks during the networking reception. 
 

Maestro Culinaire Is the exclusive supplier of food and beverage services at the Palais des congrès de Montréal. Exhibitors are not permitted to bring their own food and beverage on the premises during the event. Any exception must be approved by Maestro Culinaire.

Should you wish to serve food and beverage in your table area, all orders must be channeled through Maestro Culinaire.
